Custom ERP vs off-the-shelf ERP: how UAE businesses should decide

When a packaged ERP is the right choice, when a custom ERP pays off, and the questions UAE businesses should answer before choosing either.

Every growing business reaches the point where spreadsheets and disconnected tools stop working. The next question is usually whether to buy a packaged ERP or build one around the business. Both are reasonable answers. The right one depends on how your business works, not on which option sounds more advanced.

What each option really means

An off-the-shelf ERP is a product built for many companies. You license it, configure it, and adapt some of your processes to fit it. A custom ERP is software designed for your company: its modules, screens, approvals and reports are built around how your teams already work.

In practice the line is blurred. Packaged systems are often customised, and custom systems use standard components. The real difference is where the design starts: from the product, or from your process.

When off-the-shelf is the better choice

  • Your processes are close to standard for your industry, and you are happy to follow the product's way of working.
  • You mainly need accounting, standard inventory and standard reporting.
  • You want to be live quickly with minimal design work.
  • You have, or can hire, people experienced with that specific product.

If this describes you, a packaged system is usually the sensible route. We would tell you so.

When a custom ERP pays off

  • The way you work is part of your advantage, and forcing it into a generic product would lose that.
  • You tried a packaged ERP and teams went back to spreadsheets for the parts it didn't cover.
  • Your operations include things products handle poorly: maintenance contracts, site visits, job cards, project-based approvals, field teams.
  • You need several departments to share one record without paying for modules you will never use.
  • You want to own the system and change it as the business changes.

The questions to answer before choosing

  1. Which processes cause the most friction today, and what does that friction cost in time and errors?
  2. How different are those processes from the industry standard?
  3. Who will use the system, on what devices, and where? Office staff, managers and field teams have very different needs.
  4. What has to connect to it: accounting, e-commerce, payment gateways, WhatsApp, government portals?
  5. What data must move across, and how clean is it?
  6. Who will own and maintain the system in three years?

Cost: comparing like with like

Packaged ERP costs usually include licences per user, implementation, configuration, training, and customisation for the gaps. A custom ERP costs more to design and build up front, but has no per-user licence fee and includes only what you need. The honest comparison is the total over several years, including the cost of the workarounds each option leaves behind.

A phased approach lowers the risk either way. With a custom build, start with the module causing the most friction, put it in front of real users, and expand once it proves itself.

UAE-specific points

  • VAT: invoices and records must meet UAE VAT requirements, and e-invoicing is being phased in from 2027.
  • Multiple entities and branches: many groups run several licences or free-zone companies that need separate books but shared operations.
  • Language: some teams and customers need Arabic documents or screens.
  • Communication: customers and staff often expect updates on WhatsApp rather than email.
